HOW YOU CAN VOTE: The Secret Ballot

Step One – The Proxy Form The Proxy Form is the form the Association will use to obtain Quorum. This is a very important form to fill out if you want a Directors Election. If we do not get enough of this form filled out properly and sent in-in time, we will not have an election. COMPLETED PROXY SAMPLE
- On the Proxy Form you should assign someone who is going to the Meeting on March 11th. This person will be your proxy. This person is not voting for you. He will be your representative at the meeting. His/her role is their presence.
- Check YES
- Sign Your Name – The person signing their name will be the person who votes. Only one owner can vote per Unit.
- Follow the instructions on the Proxy and Secret Ballot Instructions
The Secret Ballot • Complete the secret ballot you already received.
• Place the ballot in the INNER envelope provided (no writing on this envelope).
• Place the inner envelope into the OUTER envelope provided.
• Sign the OUTER envelope and include your unit/address as instructed.
The Owner signing is to be the same owner who signed the Proxy
• Mail or drop off before the deadline, OR bring it to the meeting. Do Not Fax Ballots
IMPORTANT: A neighbor or volunteer may deliver your sealed ballot to the meeting for you. As long as the outer envelope is properly signed by you, your ballot will count toward quorum.
Submitting your Proxy and Ballot – You can submit your docuuments by Mail. If you do by mail contact Harbor Management to verify its receipt. You can hand deliver. A volunteer will collect your documents. Fill out Voting Help and someone will help you. A volunteer will be at the pool every weekend until the election to help you fill out your forms and will deliver your voting documents. All documents must be submitted before March 11th at 5 PM.

Florida law requirellowing process:
• Place the ballot in an INNER envelope with no identifying information.
• Place the inner envelope inside an OUTER envelope.
• The outer envelope must include the homeowner’s name, unit number, and signature.
